Last updated: 17 August 2026

1. Acceptance of these terms

By requesting access to, registering for, or using the BELM Portal (customer dashboard, technician tools, or administrative console), you agree to these Terms of Use. If you are using the Portal on behalf of a company, you confirm you are authorized to accept these terms for that company.

2. Definitions

TermMeaning
BELMBELM General Tech Service Limited, the operator of the Portal.
PortalThe BELM General Tech Service Portal, including all customer, technician, and admin areas, web and installed-app versions.
CustomerA company registered with BELM to receive machine service, maintenance, or spare-parts support through the Portal.
Customer OwnerThe primary account holder for a Customer company, with full access and the ability to manage assistant accounts via Role Manager.
Assistant / Sub-userAn additional account created by a Customer Owner (e.g. Workshop Manager, Operator, Store, Accounts, Viewer), with permissions limited to specific features.
BELM Service Provider modeThe default operating mode where BELM's own technicians handle a customer's machine maintenance and breakdown response.
Customer Self-Service / Customer Maintenance Team modeAn operating mode where the customer's own technicians handle routine maintenance; BELM Support remains available on request.
TechnicianA BELM staff member (or, in Self-Service mode, a customer's own staff member) authorized to perform checklist inspections, checkups, and Digital Job Card work on machines.
Digital Job CardThe Portal's record of a breakdown or maintenance job, including technician assignment, work performed, spare parts used, and signatures.
Checklist Report / Check-upA completed inspection record for a machine, built from a Checklist Template, including hour meter reading, item answers, and safety status (Green/Yellow/Red).
Breakdown WorkflowThe Portal feature used to log, track, and resolve machine breakdown cases from report to resolution.
Job CardA formal request from a Customer to BELM for maintenance or technical support. Spare/material sourcing is handled through the Customer Procurement workflow, which may issue from Customer Store, export selected shortages for sourcing, or send selected shortage quantities to BELM.
Proforma InvoiceA preliminary quotation for spare parts or services, prepared by BELM before a final Invoice is issued.
ProcurementThe Customer-owned workflow for all spare/material requirements. Requests enter Procurement first; Procurement checks Customer Store, issues available stock or handles outside purchasing, then updates Maintenance Process until parts are ready.
Petty CashA customer's small-expense account tracked in the Portal, separate from Procurement records and Invoices.
Role ManagerThe tool a Customer Owner or BELM Operations Portal uses to create accounts and assign page/feature-level permissions.
Privacy & BELM AccessCustomer-controlled data-sharing switches that determine whether BELM may access optional internal Customer records, subject to active-service and explicit-support exceptions described in the Privacy Policy.
Application / Registration RequestA request submitted through the public registration form to become a Customer or BELM Staff/Technician user; access is only granted after BELM Operations Portal approval.

3. Account registration and approval

4. Purpose of the Portal

The Portal exists solely to carry out the machine service, maintenance, and related administrative work agreed between BELM General Tech Service Limited and each Customer. No one — Customer, Assistant, Technician, or BELM staff — may use the Portal for any purpose outside that agreed scope of work.

5. No tampering

No one is permitted to try to tamper with, interfere with, probe, disrupt, or manipulate the Portal, its data, or its underlying systems in any way not required for their normal, agreed work. This includes, without limitation:

A violation of this section may result in immediate suspension or termination of access, and BELM may pursue any remedy available to it under Tanzanian law.

6. Acceptable use

7. Roles and access levels

The Portal enforces role-based access. A person's visible dashboard, buttons, and data are determined by their assigned role (Customer Owner, Assistant, Technician, Workshop Manager, Procurement, Billing, Store, Super Admin, etc.) and any specific permissions granted through Role Manager. BELM may adjust roles and permissions at any time to correct errors, respond to a role change, or protect the security of the Portal.

Customer-controlled Privacy & BELM Access settings are an additional access layer. BELM staff must respect those settings for optional internal Customer records. Minimum account/support data and the active-service/support exceptions are described in the Privacy Policy.

8. Service availability

BELM aims to keep the Portal available and reliable but does not guarantee uninterrupted access. Scheduled maintenance, technical issues, or circumstances outside BELM's control may temporarily affect availability. BELM is not liable for losses arising from temporary unavailability of the Portal.

9. Accuracy of records

Checklist reports, job cards, invoices, and other records generated in the Portal reflect the information entered by the account holder at the time. BELM relies on Customers and Technicians to enter accurate data (e.g. correct hour meter readings, honest inspection answers) — BELM is not responsible for decisions made based on inaccurate information entered by a user.

10. Termination

BELM may suspend or terminate an account that violates these terms, is inactive for an extended period, or where the underlying business relationship with a Customer ends. A Customer Owner may request closure of their own company's account at any time, subject to outstanding obligations (e.g. unpaid invoices).

11. Governing law

These Terms, and any use of the Portal, are governed by and construed in accordance with the laws of the United Republic of Tanzania. Any dispute arising out of or relating to these Terms or the Portal shall be subject to the exclusive jurisdiction of the courts of Tanzania, without prejudice to any dispute resolution process separately agreed in writing between BELM and a Customer.

12. Changes to these terms

BELM may update these Terms from time to time as the Portal evolves. The "Last updated" date at the top of this page reflects the most recent revision. Continued use of the Portal after an update means you accept the revised terms.

13. Contact us

For questions about these Terms, contact BELM General Tech Service Limited through your BELM Operations Portal contact, or via the Business Email configured in the Portal's Settings.

This page is a general-purpose draft prepared for the BELM Portal and is not legal advice. Please have it reviewed by a qualified lawyer familiar with Tanzanian law before relying on it as your company's official terms.
